CANCELLATION POLICY

Cancellations and Transfers

Cancellations must be advised in writing to events@renalsociety.org and your registration fee will be refundable subject to the following conditions:

Registrations and Workshops

All cancellations received on or prior to 3 April will incur a $90 administration fee. No refund will be provided if a registrant cancels after 3 April 2023 or if a registrant fails to attend an event, however, an alternate name can be provided to events@renalsociety.org to transfer the registration to at no charge.

Non-payment of registration fees will result in registration not being confirmed.  All fees being expressed are inclusive of GST.  Please note no refund will be provided if delegates are unable to be in attendance due to travel delays, cancellations, or illness.

Function Cancellations

 

All function cancellations received on or prior to 3 April 2023 will be fully refunded. No refund will be provided if a registrant cancels after 3 April 2023 or if a registrant fails to attend a function, however, an alternate name can be provided to the RSA by emailing  events@renalsociety.org to transfer the function ticket at no charge.

Non-payment of fees will result in function tickets not being confirmed.  Functions included in a full registration package are not valid for a refund or transfer. All fees being expressed are inclusive of GST.

Accommodation Cancellations

You may cancel or change your accommodation by written notice to the RSA by emailing events@renalsociety.org (prior to 20 April). For accommodation cancellation policies and fees, please refer to the individual hotel policies noted here . Click the link to view the PDF. 

 

Postponement or Cancellation by Organiser

 

If the event is postponed or cancelled, the below policy will apply:

 

Postponement | In the event of postponement by the RSA, all registrations will be carried over to the revised Conference Dates.

Cancellation by Organisers | In the event of full cancellation of the RSA 2023 Conference by the RSA, all registration payments will be fully refunded.

 

Terms and Conditions

​

The RSA reserves the right to add, withdraw or substitute speakers and/or presenters, vary prices, venues, seating arrangements and audience capacity without notice. If changes are made to the event, the RSA will use its best efforts to maintain equivalent standards. The RSA reserves the right to cancel an activity due to insufficient numbers – registrants will be notified if this occurs, and the activity value will be refunded. No compensation will be made for loss of funds for any travel or accommodation bookings should the event be cancelled.

The RSA takes all reasonable care to ensure that all details and prices of events on the RSA website are correct at the time of online publication. Ticket prices are subject to change without notice. Early bird and promotional ticket offers are only available at the lower price whilst the allocation lasts and during the designated sale period. The RSA reserves the right to withdraw any offer at any time.

Although the RSA will make reasonable efforts to ensure all registrants have the opportunity to attend all events, some events will have limited places available and are dealt with on a “first-in” basis. Failure to attend events without notifying the RSA may result in restricted access to certain events in the future.

​

The RSA will ensure every effort is made to meet your specific dietary requirement/s however this cannot be guaranteed. Dietary requirements given less than 1 week prior to the event cannot be guaranteed.

The RSA may at any time revise these Terms and Conditions by updating the event website. Delegates are bound by any such revisions.

Disclaimer

​

The opinions expressed in presentations at this event are those of the presenter and do not necessarily reflect the views of the RSA.  The RSA disclaims all responsibility and all liability (including without limitation for liability in negligence) for all expenses, losses, damages and costs you might incur as a result of the information presented being inaccurate or incomplete in any way, and for any reason, reliance was placed on such information.

Delegate’s rights and obligations

​

By registering, you warrant your details as provided are true and correct.  You must comply with any conditions, rules, regulations or usage requirements of the Venue or of the RSA in connection with a Session or Event. 

​

The RSA reserves the right, without any liability, to refuse admission to, or to eject you from a Session or an Event, in its absolute discretion, including (without limitation), for failure to comply with these Terms or if in the opinion of the RSA you represent a security risk or disruption to the running of a Session or Event.

​

Photography and the recording or transmitting of audio or visual material, data or information is prohibited at a Session or an Event without prior written consent from the RSA.

​

Code of Conduct

​

RSA events present opportunities to learn, share knowledge and network. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, sponsors, RSA Staff, and all others are expected to abide by this Code of Conduct.

​

The RSA is committed to providing a safe, productive and welcoming environment for all event participants, irrespective of gender, race, ethnicity, age, sexuality, religion, disability, socio-economic background, experience or appearance. No event participants should be subject to any form of harassment, bullying or abuse and any such behaviour will not be tolerated.  

​

All participants must comply with the instructions of presenters, facilitators and any the RSA staff. Presentations, postings, and messages should not contain promotional materials, special offers, job offers, product announcements, or solicitation for services. The RSA reserves the right to remove such messages and potentially ban sources of those solicitations.

​

The RSA reserves the right to take any action deemed necessary and appropriate, including immediate removal from the event without warning or refund, in response to any incident of unacceptable behaviour, and the RSA reserves the right to prohibit attendance at any future event, online or in person. 

​

Privacy Policy 

 

Please note that the information you provide will be collected for the purposes of processing your registration and recording your attendance. The RSA may also use this information to provide you with information in relation to future programs which may be relevant to you. 

Photographs, recordings or screenshots may be taken at the event for use on various RSA materials and publications, online and print. By registering for this event, you consent to RSA recording and using your image and likeness. If you would not like the RSA to record you, please let the RSA know via email events@renalsociety.org.

Chat logs may be exported from the event by the RSA, attendees or presenters.

​

By submitting a Registration Form, you consent to the RSA collecting, using and disclosing your personal information (including credit card information) to administer this Event. This may include the production of delegate lists and photographs for marketing and related uses unless notified otherwise. We will disclose personal information relating to credit card details for payment processing only. Definitions

​

Event: includes any RSA activity for which tickets are required which may include activities, programs, talks, tours or other events. 

A Delegate: is a Ticketholder or other person to whom these Terms and Conditions apply.

Ticket: means any valid ticket, e-ticket or wristband that a delegate has acquired which permits the delegate to attend an Event.

Venue: means the site at which an RSA event is held.
